What happens to your patients' data.
We want to be completely transparent. Here is exactly how data flows. what stays in your clinic, what is transmitted, and how patient privacy is protected at every step.

Patient audio is captured by the wireless mic and processed on your clinic PC. Audio is immediately deleted after transcription. Audio never leaves your building.

Patient names, dates of birth, chart numbers, and all directly identifiable health information are handled exclusively by your local Open Dental* installation. VoiceChart does not store PHI.

AI services that process clinical content operate on HIPAA-eligible infrastructure under a signed Business Associate Agreement. Patient data is never used to train AI models, and is never accessible outside your practice.
📊 Usage data. Anonymous only
We collect anonymous usage metrics (errors, app version, session counts) to improve the product. This data contains no patient information and no PHI of any kind.
Our Privacy Commitment
Serapis Health operates under HIPAA as a Business Associate and provides a signed Business Associate Agreement (BAA) to all subscribing clinics. Our infrastructure runs on HIPAA-eligible services. All data in transit is encrypted. API keys and credentials are stored using AES-256 encryption and are never accessible in plain text by any Serapis Health employee.
Patient audio is captured on your clinic PC and deleted immediately after processing. Patient data is never sold and never retained beyond the purpose of serving your practice. The clinic-specific key used for patient ID hashing is generated at installation, stored only on your clinic PC, and never transmitted to our servers.
